Summary

 

Ensure that there are sufficient supplies available for non-emergency and emergency and disaster situations.  Manage inventory of supplies by purchasing, transporting and warehousing in accordance with plan.  Track and trace property, supplies and other resources during training and exercise activities, and during emergency/disaster situations.  NOTE:  Involves non-standard working hours.

 

Essential Job Functions

 

A.            Maintain EMA supplies needed for non-emergency, emergency and disaster situations,

                including records of supplies

                1.             Maintain database of EMA supplies, including dates purchased, and storage location

                2.             Purchase equipment and supplies as needed, in accordance with established procedures

                3.             Add equipment and supplies to inventory and delete “out of date” or used equipment and

                                supplies in accordance with established procedures

                4.             Retain maintenance schedules for equipment and notify Director of required

                                maintenance needed in order to ensure operational readiness

                5.             Label inventory items and stage inventory materials for usage

                6.             Track and trace property, supplies, and resources needed to support training or response

                                activities

 

B.            Prepare reports, communicate information inside and outside of agency, and maintain files as

                needed

                1.             Maintain Operational Procedures  and Manuals for equipment

                2.             Communicate with Director concerning emergency program concerns, issues, requests

                                for information and inquiries

                3.             Prepare reports, letters, memoranda, statistical charts, and other materials related to

                                equipment and supplies receipt, storage, and utilization

                4.             Assist the Director in the development of plans and emergency preparedness exercises

                5.             Make presentations and provide training on Public Outreach Materials, as needed

6.             Provide support and assistance in the event of disasters, accidents, or incidents by assisting in activating warning systems; coordinating efforts to provide shelter, food and clothing with other agencies; coordinating search and rescue operations; and assessing and reporting damage from disasters

 

Knowledge, Skills, and Ability

 

1.             Knowledge of modern office practices, procedures, and equipment, including computers, computer software, fax machine, copiers, telephone systems, pagers, etc.

3.             Knowledge of business English, spelling, arithmetic, and vocabulary

4.             Knowledge of departmental policies and procedures

5.             Knowledge of the computer system and software for tracking supplies and equipment

6.             Knowledge of principles of communication

7.             Ability to read and comprehend manuals, journals, financial reports, correspondence, press releases, and related documents

8.             Ability to operate forklift, pallet jack, and hook and tow large pieces of equipment, including utility and equipment trailers

9.             Ability to understand verbal instructions and directions

10.          Ability to deal with people in a courteous and efficient manner

11.          Ability to operate basic office equipment, including computers, fax machine, copiers, etc.

12.          Ability to establish and maintain effective working relationships with other employees and the public

13.          Ability to interact with the public and provide information in a polite and efficient manner both in person and on the telephone

14.          Ability to manage multiple priorities and multiple demands to accomplish tasks in accordance

                with established requirements

 

 

Minimum Requirements

 

Associate Degree in Business Administration or Inventory Management plus 2 years of work experience in

purchasing and inventory management or public safety, or an equivalent combination of education and

experience. 

 

NOTE:  Work involves working extended and unusual hours, including weekends, holidays,

and/or off-hour shifts during emergencies or disaster situations and during training programs, preparedness

exercises and public outreach events

 

Other:  Valid Driver’s License
